Running the operation · Invoices and spend

What each location costs to keep running, and who to call.

Upload a supplier's bill, say which location and issue type it paid for, and Foyer keeps the document and the figures together — so “how much have we spent on HVAC at this location this year?” and “who do we call about it?” both have answers. General managers and maintenance accounts file the bills for their own locations and see only what they filed.

How it works

From the moment it happens to the moment it is fixed

  1. 1

    Upload the bill

A PDF, or a JPEG, PNG or WebP photo of it, up to 10 MB. Say which location and issue type it is for, then the supplier, date and amount; suppliers you have filed before are offered as you type.

  2. 2

Or let the AI read it

With reading switched on, the model fills in the supplier, invoice number, date, amounts and the supplier's phone and email — and the location and issue type where it can tell. A person checks it beside the document and presses File it.

  3. 3

    Doubles are caught

The same supplier and invoice number, or the same supplier, day and amount, stops the form before anything is saved, so a person decides whether it is a second visit or the same bill twice.

  4. 4

    Spend adds up

The Invoices page totals spend by location and by issue type over the dates you choose. The AI assistant answers the same questions in words, and can set a location's spend beside its emergency reports and how long they stayed open.

What you get

Invoices and spend, in detail

Who to call

A supplier's phone number and email are kept with the supplier and fill themselves in on the next bill. Ask the AI assistant who to call about the heating at a location, and it answers from the suppliers paid for that kind of work there, most recent first.

Managers and maintenance file their own

General managers and maintenance accounts file bills against their own locations and see only the invoices they filed themselves — never what the office paid somebody else. Admins see every invoice, and only an admin can remove one.

One currency, never converted

Totals are kept in the one currency your account deals in. A bill in anything else is shown beside the total rather than folded into it, because converting would need that day's exchange rate and any rate chosen would be arguable.

Yours to take away

Any filtered list downloads as a spreadsheet, amounts as decimals and the currency in its own column, and the documents download in a folder per location with that spreadsheet beside them. A backup carries the figures rather than the documents, so keep your own copies of the originals.

In your kind of venue

What this looks like where you work

Hotels and resorts

The HVAC contractor's bill is filed against the property and HVAC, so what keeping the guest rooms comfortable costs is a total, not a search through email.

Restaurants and multi-unit food

Refrigeration and kitchen equipment repairs are filed per location under those issue types, so spend on each can be compared site by site.

Apartments and multifamily

Elevator, plumbing and HVAC bills sit against each community, and a maintenance account files the bills for its own work.

Gyms and fitness studios

Equipment and pool plant repairs are filed per club, and the AI assistant can say who was last paid for that kind of work there.

Self-storage

Gate, lighting and climate control work at sites nobody staffs daily is filed against the site by the manager or maintenance account who handled it.

Gas and convenience

Fuel system, refrigeration and POS repairs are filed per store, with one currency across every location and any stray bill shown beside the total.

Retail and multi-store chains

Head office sees spend by store and by issue type over any dates, and takes it away as a spreadsheet for the budget review.

Questions

What operators ask about invoices and spend

Is Foyer an accounting system?

No, and it does not try to be. It keeps supplier invoices against the locations and issue types they paid for, so spend can be read beside what went wrong. A backup carries the figures rather than the documents, so keep your own copies of the originals.

Does the AI file invoices by itself?

No. Reading an invoice is optional, off until the account admin switches it on, and needs the AI assistant on. The model fills in the form, a person checks it and presses File it, and nothing is saved without that press. Each read uses one AI token from the monthly allowance; with none left, the form comes up empty to be typed.

Can a general manager see what the office paid a contractor?

No. Admins see every invoice. General managers and maintenance accounts file invoices against their own locations and see only the ones they filed themselves, and the AI assistant's spend answers to them are limited the same way.

Can we get our invoices out?

Yes. Any filtered list downloads as a spreadsheet, and the documents download in a folder per location with the same spreadsheet beside them naming each file. One download carries up to 40 MB of documents; narrow the dates or pick one location for more.

Do invoices connect to inspections?

Yes. An inspection visit can be linked to the invoice that paid for it, and the Compliance page then shows what the last twelve months of visits cost, for every location and for each one.

Is it switched on for every account?

It is off until the account admin switches it on, because it starts holding your suppliers, your documents and what your locations cost to run. Reading invoices with the AI is a second switch, also off by default.
