Running the operation · Team communication

Tell everyone once, know who read it, and ask on the case itself.

Announcements that ask each person for a Got it, guides that say how things are done at your locations, and questions asked on the case they are about. Deliberately not a chat, so nothing that matters gets buried under replies.

The shared case queue your managers work from

How it works

From the moment it happens to the moment it is fixed

  1. 1

    Send it once

An admin writes an announcement, with up to four pictures, and sends it to everyone, all general managers, the general managers at chosen locations, or maintenance accounts. Each person asked is told by email or web push, as they have set up.

  2. 2

    Each person presses Got it

The sender sees who has confirmed and who has not, and Remind them goes to the rest, at most once every four hours. Who was asked is fixed when it is sent, so the count still means the same people next month.

  3. 3

Write down how it is done

An admin writes a guide: what to know before starting, the steps in order with a picture on any step, links to a video or the maker's page, and one PDF — for every location, chosen locations or chosen people.

  4. 4

    Ask on the case

On a case, press Ask or type @ in a note and pick up to five people who can already open it. Their next note on the case is the answer, you are told when it arrives, and until then the case says who it is waiting on.

What you get

Team communication, in detail

Questions go to the sender

A question about an announcement goes to whoever sent it and nobody else, and an update reaches everyone who was asked. An edit is marked Edited and asks nobody again, so a change to what people must do goes out as a new announcement.

The AI assistant answers from your guides

Ask how to reset the card machine, and where a guide covers it the assistant gives its steps as written and in order, with the guide's video and links as buttons under the answer. Where no guide covers a job, it says there is no guide for that yet instead of making one up.

A guide's PDF, read once

Whoever writes a guide can let the AI assistant read its PDF — the manual, or a procedure already on paper. It is read once, for one AI token however long it is, and answers from it name the page so they can be checked.

Waiting on you

Case pages open with what is waiting on you — who asked, how long ago and the question — and what you asked that nobody has answered yet. Notifications name who asked and which case, never the question itself.

In your kind of venue

What this looks like where you work

Hotels and resorts

A new procedure goes to the general managers at chosen properties, and the sender can see who has pressed Got it and who has not.

Restaurants and multi-unit food

A guide the office writes once — resetting the card machine, say — is one question to the AI assistant away for any manager on shift.

Apartments and multifamily

An announcement to maintenance accounts about a planned water shut-off asks each of them for a Got it, and a question about one leak is asked on that leak's case.

Gyms and fitness studios

A manager asks the maintenance account on the treadmill case when the part arrives, and the case says it is waiting on them until they answer.

Self-storage

A question about a stuck gate is asked on that case, so the answer stays with the site's history rather than in somebody's texts.

Gas and convenience

The steps for a pump that will not authorize can live in a guide with the maker's video linked, ready for whoever is on shift to ask the AI assistant.

Retail and multi-store chains

Head office sends a change to every store manager at once and sees who has confirmed it and who still needs a reminder.

Questions

What operators ask about team communication

Is this a chat app?

No, deliberately. A chat buries a change under replies and nobody can tell who has read it. Announcements ask each person to press Got it, a question about a case lives on that case, and how a job is done lives in a guide.

Who sends announcements, and who receives them?

Admins send them, to everyone, all general managers, the general managers at chosen locations, or maintenance accounts. Who was asked is fixed when it is sent, and somebody who joins later can read it without being asked to confirm it.

Who can be asked about a case?

Only people who can already open it, so asking never widens what anybody can see. A note can ask up to five people, the notification names who asked and which case but never the question, and each person's next note on the case is their answer.

Can the AI assistant answer from our own procedures?

Yes. It answers from your guides, giving the steps as written and in order with the guide's video and links as buttons, and from a guide's PDF where its writer let the assistant read it. Where no guide covers a job, it says there is no guide for that yet.
